Privacy policy
We handle information about families and children. This page explains exactly what we collect, why, who sees it, and how you can have it removed.
Last updated: July 2026
This policy applies to theeventsitternova.com and to the childcare services provided by The Eventsitter ("we", "us", "our"). By using this website or booking our services, you agree to what's described here.
Who we are
The Eventsitter is an event childcare provider serving Northern Virginia, Washington DC and the surrounding area. For any question about this policy or about information we hold, contact us at theeventsitternova@gmail.com.
What we collect
When you inquire about an event
Through the booking form we collect your name, email address, phone number, the organization you represent if any, and details of your event — type, date, times, venue and guest count. We also collect information about the children who will attend: how many, their ages, and any allergies, medical needs or accessibility needs you choose to tell us about.
When you request a call
Your name, email address, phone number, preferred contact method and availability, and whatever context you give us about your event.
When you apply to work with us
Your legal name and preferred name, contact details, city, childcare experience, certifications, references, availability, resume if you upload one, and your consent to a background check.
We never ask for your Social Security number or date of birth on this website. If your application progresses, you'll enter those directly with our third-party screening provider through a secure link they send you. That information goes to them, not to us. We receive only the outcome of the check.
When you visit the site
This site sets no advertising cookies and runs no analytics or tracking scripts. Our hosting provider keeps standard server logs, which include IP addresses and browser information, for security and performance purposes. Our fonts are loaded from Google Fonts, which means your browser makes a request to Google's servers and Google receives your IP address as part of that request.
Information about children
We collect information about children from their parents, guardians, or the host organising the event — never from children directly. This website is not directed to children and we do not knowingly permit anyone under 13 to submit information through it.
Information about a child is used for one purpose: to care for that child safely at your event. It goes into the written care plan used by the caregivers assigned to your event. It is never used for marketing, never sold, and never shared with anyone outside the caregiving team for that event.
On event day we also keep sign-in and sign-out records showing which adult dropped off and collected each child. These are kept securely and destroyed on the schedule described below.
Why we use your information
- To respond to your inquiry and prepare a quote
- To plan appropriate staffing and build a care plan for your event
- To keep children safe, including responding to allergies, medical needs and emergencies
- To assess applications from prospective caregivers and arrange background screening
- To send you booking confirmations, invoices and event-related communications
- To send occasional marketing emails, but only if you specifically opted in
- To meet our legal, insurance and record-keeping obligations
Who we share it with
We do not sell your personal information, and we do not share it for anyone else's advertising.
We share it only with:
- Caregivers assigned to your event, who receive the care plan and the information needed to look after the children safely.
- Our background screening provider, for applicants who have consented to a check.
- Service providers who operate our systems — website hosting and form handling, email, scheduling, invoicing and payment processing. Each has access only to what their function requires.
- Your venue or event planner, where logistics require it and you have asked us to coordinate with them.
- Authorities, where we are legally required to disclose information, or where we reasonably believe it is necessary to protect a child from harm.
How long we keep it
- Inquiries that don't become bookings: up to two years, in case you come back to us.
- Booked events: contracts, invoices and event records for seven years, to meet tax, insurance and liability requirements.
- Children's care details and sign-in records: retained after the event only as long as our insurer and applicable law require, then securely destroyed.
- Unsuccessful applications: one year, unless you ask us to delete them sooner.
- Caregiver records: for the duration of engagement and for the period afterwards required by employment and tax law.
How we protect it
Form submissions are transmitted over an encrypted connection and stored in access-controlled systems. Access is limited to the people who need it to do their job. Sensitive screening data is handled by our screening provider rather than by us. Caregivers are briefed on confidentiality and are not permitted to photograph children or share event details without written permission from the host and the child's parent or guardian.
No system is perfectly secure, and we can't guarantee absolute security. If a breach occurs that affects your information, we will notify you as required by law.
Photography
We do not photograph children at events for marketing purposes without separate, specific written consent from each child's parent or guardian. If you would like photographs of your event's childcare setup for your own use, tell us in advance and we'll agree the arrangements in writing.
Your rights
You can ask us to:
- Tell you what personal information we hold about you or your child
- Correct anything that is wrong
- Delete information, where we are not required to keep it
- Stop sending you marketing email — every marketing email also has an unsubscribe link
- Provide a copy of your information in a portable format
Email theeventsitternova@gmail.com and we'll respond within 45 days. We may need to verify your identity first. Exercising any of these rights will never affect the service you receive from us.
Depending on where you live, you may have additional rights under state law — including under the Virginia Consumer Data Protection Act. We honor those requests regardless of whether the law technically applies to us.
Other websites
Our site links to Instagram and may link to other third-party services. Once you follow a link away from our site, their privacy policy governs, not ours.
Changes to this policy
If we change this policy we'll update the date at the top of this page. For significant changes affecting how we use information we already hold, we'll email you directly where we can.
Questions
Contact us any time at theeventsitternova@gmail.com. If you have a concern about how we've handled your information, tell us first — we'd rather fix it directly.
